Correspondence - Contacting Financial Institutions

This article will guide you through how to use the platform's correspondence feature - which allows you to generate case specific documents to send to relevant financial institutions

How do I use the Correspondence Feature?

  • Navigate to the Estate overview page of the case you are working on
  • Click Correspondence on the left hand side menu

  • Within Correspondence click + Create

  • Choose which Correspondence template you would like to use and who will be the Recipient using the drop down menus on the left hand side

⭐ The list of Recipients available to send correspondence to will be pulled through from the information you have entered into any active estate items

  • If you select a financial institution as the Recipient another drop down menu will appear to choose the Related assets & liabilities that will be included in your correspondence

    • You can choose to use a Suggested address taken from the Estatesearch powered financial institution address book - to select the appropriate bereavement team address for correspondence
    • You can also select an address from any of the selected assets and liabilities
    • Or you are able to Search for the address or Manually enter address
    • Clicking Generate will take you to the Generated Correspondence page where you will see a fully editable preview of your document

⭐Placeholders entered into your template will populate once you have clicked Generate

  • Here you are able to make any final edits to the generated correspondence document
  • You can also Save to Case or Save & Download your correspondence as either a PDF or word document

❗An error message will appear if placeholders are unable to be populated e.g. There is a 'Deceased NI number' placeholder in your correspondence but no NI number has been entered for the deceased on the platform

🌈To resolve this error you will need to update the case with the relevant information to populate the placeholder or manually edit the Correspondence document 

  • All saved correspondence will appear on the Correspondence page
  • You are able to Search correspondence, Edit/Delete Correspondence (by clicking the 3 dots) and View Correspondence from this page

  • Selecting to View a piece of correspondence will take you to a page where are you are able to Edit, Download or Print the correspondence
