How do I send correspondence to people & beneficiaries in my case?

This article will guide you through how to use the platform's correspondence feature - allowing you to generate case specific documents to send to relevant people in your case

How do I use the Correspondence feature?

  • Navigate to the Estate overview page of the case you are working on
  • Click Correspondence on the left hand side menu

  • In Correspondence click + Create

  • Choose which Correspondence template you would like to use and who will be the Recipient using the drop down menus on the left hand side 

👉 By clicking Manage templates in the top right hand corner you are able to access your Template Library

💡 The righthand panel will show you a preview of the template you have selected

⭐ The list of Recipients available to send correspondence to will be populated from the information you have entered in the People & beneficiaries section of your case

  • After selecting a Recipient, if there is an address held for that person, you can choose that address or manually enter an address to send the Correspondence to

  • Clicking Generate will take you to the Generated Correspondence page where you will see a fully editable preview of your document

⭐Placeholders entered into your template will populate once you have clicked Generate

20251002 Generated Correspondence Page (People)

  • Here you are able to make any final edits to the generated correspondence document
  • You can also Save to Case or Save & Download your correspondence as either a PDF or Word document

❗An error message will appear if placeholders are unable to be populated e.g. There is a 'Deceased NI number' placeholder in your correspondence but no NI number has been entered for the deceased on the platform

🌈To resolve this error you will need to update the case with the relevant information to populate the placeholder or manually edit the Correspondence document 

  • All saved correspondence will appear on the Correspondence page
  • You are able to Search correspondence, Edit/Delete Correspondence (by clicking the 3 dots) and View Correspondence from this page

  • Selecting to View a correspondence document will take you to a page where are you are able to Edit, Download or Print the correspondence
